Scan to folder setup, on site
Scans should land straight in a shared folder.
Scans should land straight in a shared folder.
Scan to folder relies on the copier signing in to a network share with SMB, and that is where things get fiddly. Older devices only speak SMB1, which modern Windows and NAS units disable for good reason, so we check the copier's firmware for SMB2 or SMB3 support first. We then create a dedicated scan account with a password that does not expire, so it does not break when someone's login changes.
What the technician does
- Create or choose the shared folder
- Configure the printer to save there
- Test from the printer panel
Scan to folder often breaks after a password change - we fix that too.
About scan to folder setup
The destination can be a shared folder on a server, a NAS, or a folder that syncs to SharePoint or OneDrive. We set permissions so each person sees only their own scans folder or a shared intake folder, as you prefer, and choose a naming pattern with the date. A test from the panel confirms each destination before we leave, and the settings are written down for next time.
What usually causes it
- Scanner using an old SMB version blocked by Windows
- Password changes breaking the scan account
- New server or NAS replacing the old shared drive
- Staff wanting scans in shared team folders
- Scan files with meaningless names piling up
Before we arrive
- The printer and all its parts, including toner or ink
- The list of computers that need to print
- Your email provider details for scan to email
- Where you would like the printer to live
What a visit looks like
When you book scan to folder setup, you tell us what's going on and we reply with a time that suits you and a price. Nothing starts until you're happy with both.
On the day, the technician arrives, looks at the problem in person and confirms the plan with you before starting. If something turns out different from what was expected - a part is needed, or the cause is somewhere else - we stop and agree the change with you first.
When the work is done we test it with you, show you what was changed, and leave the area tidy. For business jobs we note what we did, so there is a record for whoever looks after your IT next.
Pricing
Each scan to folder setup job is priced before work starts. The price depends on what's involved - the size of the site, the equipment, and whether parts are needed - so the quickest way to a number is to tell us about the job on the booking form.
There is no contract and no monthly fee. You book the job you need and pay for that job.
Scan to folder setup: questions
Can scans go straight into SharePoint?
Most copiers cannot save directly to SharePoint. We usually scan to a local folder that syncs to SharePoint, or use the manufacturer's cloud connector if your model supports it.
Why use a separate scanner account?
A dedicated account means the scanner keeps working when staff change their passwords or leave, and its access can be limited to just the scan folders.
Do you do scan to folder setup on site?
Yes. We come to businesses and homes across Auckland and Hamilton and do the work where the equipment is.
How much does scan to folder setup cost?
It depends on what's involved. Tell us about the job on the form and we'll confirm the price before any work starts.
