Meeting room AV and video conferencing setup

Screens, cameras and audio that make meetings start on time.

Hunting for the right cable or the mute button at the start of every meeting wastes time and looks poor to clients. We install displays, cameras, speakerphones and wireless presenting in boardrooms, huddle spaces and training rooms, then set them up for Microsoft Teams or Zoom so joining is simple. Cables are hidden where the room allows, and we test sound and picture from both ends of a real call.

  • Test call made from the room to an outside participant
  • Cables concealed or ducted where possible
  • A one-page how-to left in the room

Signs you need meeting rooms & video conferencing

  • Meetings start late while people hunt for the right cable
  • Remote attendees cannot hear people at the far end of the table
  • The room camera only shows half the table
  • Every laptop needs a different adaptor to reach the screen
  • Rooms are double-booked or sit empty when the calendar says they are busy

How we do it

We start with how the room is used: how many people sit in it, how often calls run, which platform you use and who presents. That decides whether a simple USB video bar will do or whether the room needs a dedicated Teams or Zoom system with a touch panel. We also check the room itself - wall construction, where power sits, window glare and how much the space echoes.

Installation covers mounting the display, positioning the camera at eye level, placing microphones so every seat is heard and hiding cables in ducting or furniture where the room allows. We then run a real call to someone outside the building, check they can see and hear everyone clearly, and leave a one-page guide on the table so anyone can start a meeting.

Meeting Rooms & Video Conferencing for businesses

For businesses, a working meeting room is about time and first impressions. Clients and remote staff notice poor sound and a frozen camera far more than they notice the screen size. A properly set up room means meetings start on the hour, everyone can be heard and presenting is a single step, whether the room seats four people or twenty.

Before we arrive

To make the visit quick, it helps to have these ready:

  • The video platform your business uses
  • Room dimensions and how many people use it
  • A Microsoft 365 or Google admin login if room accounts are needed
  • Any building rules on wall fixings

What a visit looks like

When you book meeting rooms & video conferencing, you tell us what's going on and we reply with a time that suits you and a price. Nothing starts until you're happy with both.

On the day, the technician arrives, looks at the problem in person and confirms the plan with you before starting. If something turns out different from what was expected - a part is needed, or the cause is somewhere else - we stop and agree the change with you first.

When the work is done we test it with you, show you what was changed, and leave the area tidy. For business jobs we note what we did, so there is a record for whoever looks after your IT next.

Pricing

Each meeting rooms & video conferencing job is priced before work starts. The price depends on what's involved - the size of the site, the equipment, and whether parts are needed - so the quickest way to a number is to tell us about the job on the booking form.

There is no contract and no monthly fee. You book the job you need and pay for that job.

Meeting Rooms & Video Conferencing: common questions

Do we need a dedicated Teams or Zoom room system?

Not always. Smaller rooms often work well with a USB video bar that any laptop plugs into. Larger rooms that host frequent calls benefit from a dedicated system that starts meetings from a touch panel.

Why do remote people say they cannot hear us?

Usually the microphone is too far from the people talking, or the room echoes. Moving or adding microphones, and sometimes softening hard surfaces, fixes most complaints about meeting audio.

Can you mount screens on any wall?

Most walls can take a screen with the right fixings. We check the wall type first, and if a new power point is needed behind the screen, a registered electrician installs it.
