Many office copiers and larger printers have an internal hard drive or memory that holds scanned and printed jobs, address books full of email addresses and stored passwords for scan-to-email or scan-to-folder. When the machine leaves the building, all of that can leave with it. We check the model to see what storage it has and what data-clearing options it offers. Leased machines are checked against the lease terms.

Address books, saved network passwords and email server settings are cleared, and the model and serial number are recorded with what was done. A copy of that record is sent to your office manager.
