Hot desk setup, on site
Staff share desks but every time they plug in, the screens and peripherals don't work properly.
Staff share desks but every time they plug in, the screens and peripherals don't work properly.
Hot desking works when any laptop can plug into any desk and get screens, keyboard, mouse, network and power without fuss. Mixed dock models, mismatched cables and outdated dock firmware make that unreliable. Staff lose time fiddling with display settings, and some give up and work on the laptop screen. Chargers that cannot supply enough power to the laptop also cause flicker and slow charging.
What the technician does
- Standardise docks, screens and peripherals across the hot desks
- Set display and dock settings on each laptop
- Label desks and test with several staff laptops
Choose one dock model for every hot desk - mixing models is the most common cause of trouble.
About hot desk setup
We standardise the hardware on each desk, update dock firmware and laptop drivers, and check every desk with a selection of staff laptops. Where desks are booked, we can label them clearly. If you use Microsoft 365, OneDrive and roaming settings help each user's files and preferences follow them from desk to desk. Spare cables are labelled and stored so a missing lead does not take a desk out of use.
What usually causes it
- Mixed dock models and cable types
- Laptop display drivers out of date
- Office moving to a hybrid work model
- Staff returning to the office after working from home
Before we arrive
- The list of staff receiving a new machine and where they sit
- Installers and licence keys for any specialist software
- Admin access to Microsoft 365 or your domain
- A decision on what happens to the old computers
What a visit looks like
When you book hot desk setup, you tell us what's going on and we reply with a time that suits you and a price. Nothing starts until you're happy with both.
On the day, the technician arrives, looks at the problem in person and confirms the plan with you before starting. If something turns out different from what was expected - a part is needed, or the cause is somewhere else - we stop and agree the change with you first.
When the work is done we test it with you, show you what was changed, and leave the area tidy. For business jobs we note what we did, so there is a record for whoever looks after your IT next.
Pricing
Each hot desk setup job is priced before work starts. The price depends on what's involved - the size of the site, the equipment, and whether parts are needed - so the quickest way to a number is to tell us about the job on the booking form.
There is no contract and no monthly fee. You book the job you need and pay for that job.
Hot desk setup: questions
Which docks do you suggest?
Docks that suit the laptop models you use, usually USB-C or Thunderbolt. Matching dock and laptop brands can make firmware updates and support simpler. Power delivery and the number of screens supported also matter.
Can screens remember each person's layout?
Windows remembers the layout per monitor setup, so standard desks help it apply the right layout each time. Personalised settings follow the user through their profile.
Do you do hot desk setup on site?
Yes. We come to businesses and homes across Auckland and Hamilton and do the work where the equipment is.
How much does hot desk setup cost?
It depends on what's involved. Tell us about the job on the form and we'll confirm the price before any work starts.
