Email Setup & Support
Moving email to a new provider, on site
We are changing email provider and need every mailbox, folder and contact moved across without losing anything.

We are changing email provider and need every mailbox, folder and contact moved across without losing anything.
Moving email is mostly about not losing anything along the way. Before the move we list every mailbox, forwarding address and shared inbox on the old service, because it is easy to forget the info@ address that only one person checks or the alias a supplier has used for years. We confirm how much mail each person has and whether any of it is held only on a local computer rather than on the server, since that mail needs to be exported separately.
What the technician does
- List every mailbox, alias and shared inbox on the old service
- Copy mail, folders, contacts and calendars to the new provider
- Change the domain records, reconnect each computer and sweep up late mail
Do not cancel the old email service until the move has been checked - late mail is collected from it afterwards.
About moving email to a new provider
Mail, folders, contacts and calendars are then copied to the new provider while the old service keeps working. Once the copy is complete, the domain records are changed so new mail flows to the new provider, and each computer is reconnected in Outlook, Apple Mail or the browser. A final pass collects any messages that reached the old service during the switch, and we check each person can find their history before the old account is closed.
What usually causes it
- The current provider is being retired or becoming expensive to keep
- The business is moving to Microsoft 365 or Google Workspace
- Email is tied to an internet provider address the business wants to leave
- Several separate accounts need bringing under one domain
Before we arrive
- The name of your email provider and the login for the account that manages it
- Email addresses and passwords for each person, or access to reset them
- Who should be able to see each shared mailbox
- Any signature wording, logo file or disclaimer you want used
What a visit looks like
When you book moving email to a new provider, you tell us what's going on and we reply with a time that suits you and a price. Nothing starts until you're happy with both.
On the day, the technician arrives, looks at the problem in person and confirms the plan with you before starting. If something turns out different from what was expected - a part is needed, or the cause is somewhere else - we stop and agree the change with you first.
When the work is done we test it with you, show you what was changed, and leave the area tidy. For business jobs we note what we did, so there is a record for whoever looks after your IT next.

Moving email to a new provider is charged at our standard rates: a $30 call-out, the first hour, then half-hour blocks. We never charge by the minute or in 15-minute steps, and there are no hidden extras.
Larger jobs - a new network, a run of cabling, a server or a camera system - get a free quote before any work starts, so you know the cost up front. Parts and equipment are quoted and agreed before we order them.
There is no contract, no monthly fee and no membership. You book the job you need and pay for that job.
Moving email to a new provider: questions
Will we have any time without email?
There is a short period while the domain records update, during which some messages may still arrive at the old service. Those are collected afterwards, so they are not lost, and sending continues to work throughout.
Can you move email from an internet provider address?
Yes. Mail from a provider address can be copied to a new account, but the old address itself cannot come with you. We set up an auto-reply or forwarding on the old account while it remains open, so contacts learn the new address.
Do you do moving email to a new provider on site?
Yes. We come to businesses and homes across Auckland and Hamilton and do the work where the equipment is.
How much does moving email to a new provider cost?
It depends on what's involved. Tell us about the job on the form and we'll confirm the price before any work starts.
