IT for accounting firms
Onsite IT for accounting practices: secure networks, reliable backups, fast workstations and tidy scanning, set up as one-off jobs.

An accounting practice runs on a handful of systems that all have to work at the same moment: practice management software, a document store full of client files, scanners and a constant flow of secure email. Work is driven by filing deadlines, so a slow network or a dead laptop is felt straight away. The data is also sensitive, and the NZ Privacy Act 2020 expects firms to take reasonable care of personal information. Most practices we visit have grown organically, with an internet provider router, a shared drive on an ageing box and a backup nobody has ever tested. We turn that into something documented, secure and uneventful.
- One-off jobs, no contract
- After-hours work can be arranged
- Works alongside your existing IT provider
- Price agreed before work starts
IT problems accounting firms run into
- Client files sit on an old shared drive or a single office PC with no tested backup behind it.
- Staff work from home and from client sites over weak remote access that was set up in a hurry.
- Large spreadsheets and practice software crawl on ageing workstations and congested office Wi-Fi.
- Scanners and multifunction printers are poorly set up, so documents land in the wrong folder or not at all.
- Email accounts and cloud logins have no multi-factor sign-in, leaving client data exposed to a single stolen password.

What a good setup looks like
A good accounting office starts with a dependable network. That means a business firewall rather than the provider's default router, a managed switch, and Wi-Fi access points placed to cover meeting rooms and the open-plan floor properly. Staff, guests and any visiting auditors sit on separate networks so a client laptop never touches your file storage. We label every cable and patch panel port and leave a simple diagram, so the next person who needs to change something is not guessing.
Workstations and file storage come next. Whether you keep files on a local server, a network storage unit or in Microsoft 365, we set up permissions so partners can see everything and juniors see only what they should. Machines are configured the same way, with disk encryption turned on and automatic updates scheduled out of working hours. Backups run to more than one place, including one copy that is not connected to the office network, and we restore a sample file in front of you to prove they work.
Finally we look at the daily friction: scanning, printing and remote access. Scan-to-folder is set up per person or per team so signed documents file themselves. Remote staff connect through a VPN or a properly secured cloud workspace with multi-factor sign-in. We write a short handover sheet listing accounts, devices and where the backups go, so the practice owner has one page to hand to a new office manager or an auditor.
Jobs we do for accounting firms
- Move shared client folders onto new storage with proper partner and staff permissions.
- Set up multi-factor sign-in and secure remote access for staff working from home.
- Replace a failing office server and restore client files from backup.
- Configure scan-to-folder on the multifunction printer for each team.
- Roll out new workstations with encryption and the practice software installed.
- Test the backup by restoring real files, then document where each copy lives.

Run through these yourself. Anything you can't tick is a good place to start:
- Can you name every place client files are stored, and who can open each one?
- Has a file been restored from your backup in the last few months?
- Do all staff use multi-factor sign-in for email and cloud tools?
- Is the office firewall a business model that is still receiving updates?
- Are laptops encrypted so a lost bag does not become a privacy breach?
- Do you have a written list of devices, logins and who looks after each?
What a visit looks like
When you book a business job, you tell us what's going on and we reply with a time that suits you and a price. Nothing starts until you're happy with both.
On the day, the technician arrives, looks at the problem in person and confirms the plan with you before starting. If something turns out different from what was expected - a part is needed, or the cause is somewhere else - we stop and agree the change with you first.
When the work is done we test it with you, show you what was changed, and leave the area tidy. For business jobs we note what we did, so there is a record for whoever looks after your IT next.
Pricing
Each business job is priced before work starts. The price depends on what's involved - the size of the site, the equipment, and whether parts are needed - so the quickest way to a number is to tell us about the job on the booking form.
There is no contract and no monthly fee. You book the job you need and pay for that job.
IT for accounting firms: questions
Can you work around our busy filing periods?
Yes. Because every job is booked as a one-off, we agree a date that suits the practice and plan disruptive work, such as a server swap or network cut-over, for a quiet time before or after a deadline rush.
Do you need access to client files to do the work?
Not normally. We configure the systems that hold the data, such as storage, permissions and backups, without opening client documents. Where we do need to test a restore, we use a sample file you choose and nominate.
We use cloud accounting software. Do we still need a network?
Yes. Cloud tools depend on a stable internet connection, good Wi-Fi and secure logins. Supporting equipment such as scanners, printers, shared storage and backups still lives in the office, and a failing network stops cloud work just as quickly.
Will you tell us if our setup puts client data at risk?
Yes, in plain language. We look at storage, backups, sign-in security and device protection, then list what we found and what we would change. We do not promise compliance, but we give you a clear picture to act on.
