IT for churches and community groups

Onsite IT for churches and community groups: hall Wi-Fi, sound and screen setups, simple office IT and volunteer-friendly systems.

Churches and community groups use technology in a distinctive way. A hall or auditorium needs projection, sound and often a live stream, while a small office handles membership lists, finances and newsletters. Equipment is usually donated, bought gradually or inherited, and the people looking after it are volunteers with limited time. The result can be a working setup that only one person understands. We visit your building, make sense of what is there and set up systems that are tidy, documented and straightforward, so the next volunteer can pick up where the last left off.

IT problems churches and community groups run into

  • The sound, projector and streaming setup works, but only the one volunteer who built it knows how.
  • Wi-Fi reaches the office but not the hall, meeting rooms or outdoor spaces.
  • Membership details and financial records are kept on a personal computer with no regular backup.
  • Old donated computers run slowly or have outdated security, and nobody has time to maintain them.
  • Cables across the floor, patched together over the years, create trip hazards and unreliable connections.

What a good setup looks like

A good community building setup starts with the basics: reliable internet, Wi-Fi where people gather, and a tidy cabinet instead of a router behind the piano. We install access points to cover the main hall, meeting rooms and the office, with a separate guest network for visitors and hall hirers. Where a stream or video link is used, we make sure the internet connection and cabling are up to it and not sharing space with every phone in the room.

Audio and visual equipment is then made simple. Projectors or screens, microphones, a mixer and speakers are connected so that a volunteer can switch on and run a service or event from a single clear panel, with labelled inputs. We run cabling neatly through walls, ceiling or floor boxes where possible, removing loose leads. For live streaming, we set up a camera and encoder arrangement that can be operated without special training, and leave a one-page guide.

The office side gets the same attention. Membership lists, donation records and rosters are stored in a shared, backed-up location instead of one personal laptop, and individual logins replace shared passwords. Printing and scanning are set up for newsletters and forms. Because volunteers change, we write plain-language notes covering equipment, accounts and backups, so the group is never dependent on one person. Personal information is handled with general care under the Privacy Act 2020.

A quick IT checklist

Run through these yourself. Anything you can't tick is a good place to start:

  • Could another volunteer run the sound and screens using a written guide?
  • Does the hall have reliable Wi-Fi, separate from the office?
  • Are membership and finance records backed up somewhere safe?
  • Does each person with access use their own login?
  • Are loose cables across floors tidied or covered?
  • Do you have a list of who looks after each piece of equipment?

What a visit looks like

When you book a business job, you tell us what's going on and we reply with a time that suits you and a price. Nothing starts until you're happy with both.

On the day, the technician arrives, looks at the problem in person and confirms the plan with you before starting. If something turns out different from what was expected - a part is needed, or the cause is somewhere else - we stop and agree the change with you first.

When the work is done we test it with you, show you what was changed, and leave the area tidy. For business jobs we note what we did, so there is a record for whoever looks after your IT next.

Pricing

Each business job is priced before work starts. The price depends on what's involved - the size of the site, the equipment, and whether parts are needed - so the quickest way to a number is to tell us about the job on the booking form.

There is no contract and no monthly fee. You book the job you need and pay for that job.

IT for churches and community groups: questions

We are a small group with limited funds. Can you help in stages?

Yes. Because every job is a one-off with no contract, you can fix the most pressing problem first, such as Wi-Fi or sound, and return to the next stage as your plans and budget allow.

Can you set up a livestream for our services?

Yes. We install a camera, audio feed and simple encoder arrangement, then check the internet connection can carry the stream. We show your volunteers how to start and stop it and leave a short printed guide.

Can you work around services and events?

Yes. We plan visits for times when the building is empty and aim to finish before your next gathering. Anything that could disrupt a service is tested beforehand.

Our equipment is all donated and mismatched. Is that a problem?

Often it can be made to work together. We assess what is usable, replace weak links such as failing leads or old routers and standardise the rest where practical, so you get a dependable setup without discarding everything.
